Raptors Hockey Club (“we,” “us,” or “our”) is committed to protecting the privacy and safety of participants and their families. This Privacy Policy describes how personal information is collected, used, and safeguarded in connection with clinic registration and participation in the State of New York.

1. Information We Collect

We may collect personal information including:

  • Participant name, age, birth year, and skill level

  • Parent or legal guardian name and contact information

  • Email address and phone number

  • Emergency contact details and limited medical information relevant to participation

  • Registration and payment information (processed securely by third-party providers)

We do not knowingly collect information beyond what is necessary for participation, safety, and administration.

2. Use of Information

Information is used solely to:

  • Process registrations and payments

  • Communicate clinic-related information and updates

  • Ensure appropriate grouping, supervision, and participant safety

  • Meet insurance, legal, and organizational requirements

  • Comply (to max extent possible) with USA Hockey, SafeSport, and applicable New York State regulation

3. USA Hockey & SafeSport Alignment

  • We follow USA Hockey SafeSport policies regarding athlete protection, supervision, and reporting obligations to the maximum extent possible. Parents are responsible for monitoring children during lockerroom and rink times.

  • Personal information may be disclosed only as required to comply with SafeSport reporting requirements, mandatory reporting laws, or to protect the safety of a participant.

  • All coaches and staff are expected to adhere to applicable SafeSport standards regarding conduct, communication, and confidentiality.

4. New York State Compliance

In accordance with New York law:

  • Personal information of minors is collected only with parent or legal guardian consent.

  • Information is maintained using reasonable administrative, technical, and physical safeguards to prevent unauthorized access, consistent with New York data protection standards.

  • Medical and emergency information is used strictly for health and safety purposes.

5. Information Sharing

We do not sell or rent personal information. Information may be shared only with:

  • Clinic coaches and staff on a need-to-know basis

  • Medical personnel in case of injury or emergency

  • Service providers that support registration or payment processing

  • USA Hockey, SafeSport, or legal authorities when required by policy or law

6. Media & Communications

Photos or videos taken during Club participation may be used for promotional or instructional purposes unless a written opt-out request is submitted prior to the clinic start date. Media use is conducted in a manner consistent with SafeSport athlete protection guidelines.

7. Data Retention

Personal information is retained only as long as reasonably necessary for clinic operations, legal compliance, and insurance purposes, after which it is securely deleted or destroyed.

8. Policy Updates

This Privacy Policy may be updated periodically. Continued registration or participation constitutes acceptance of the current policy.
